The seven health-partners in the Georgian Bay Information Network (GBIN) recognize that a major, system-wide clinical transformation is needed to achieve high quality patient care, with evidence based integrated technology solutions across the system. This clinical transformation will meet information needs of both the health partners and the region. GBIN, a shared Health Information System, will support the “patient centered, clinically aligned, digitally transformed care” vision identified by the partners’ clinical leadership.
As a member of the Administrative Resource Team (ART), the Administrative Assistant provides direct support to the Project Director for eNautilus as well as supporting a large group of eNautilus project team members for a broad range of responsibilities, projects and committees. Working as a collaborative team each ART member has an assignment of core responsibilities and works with the team to share work load demands as it arises. This role requires flexibility, creativity and the desire to be part of a strong and supportive team. This position includes significant direct interaction with all GBIN corporations and IT vendors. The Administrative Assistant coordinates and organizes corporate and GBIN committees as assigned including the development and distribution of agendas, action summaries and technical support. Flexible work hours to support a variety of committees and meet deadlines is required. The Administrative Assistant balances multiple responsibilities and has effective critical thinking, problem solving and time management skills. The Administrative Assistant has a professional customer service orientation to represent the corporation and liaise with the public, staff, visitors and Board members. This role will be expected to travel to sites when required to support meeting logistics during the Discovery phases from November to January.
This role will primary work remote with the occasional onsite requirement for training, go-live support or transformation meetings.
Qualifications / Skills / Abilities:
Required
- Successful completion of a post-secondary office administration program, and three to five years administrative/secretarial experience at a senior level
- Project Management courses is an asset
- Ability to produce accurate, timely and effective minutes/action summaries
- Knowledge of committee process and procedures, rules of order to effectively follow meeting proceedings and document motions, dissentions and other proceedings
- Knowledge of the principles of effective customer service including customer needs assessment, meeting quality standards for service, a professional and welcoming manner
- Excellent (intermediate to advanced level) computer skills including ability in Excel, Access, Word, Power Point and Internet based applications, to be tested
- Keyboarding skills minimum 60 words per minute, to be tested
- Excellent organizational, communication and interpersonal skills
- Extensive knowledge of the Corporation and its operating systems
- Experience with Board governance is an asset
- Strong desire and ability to lead and work collaboratively as a team player as well as work independently
- Excellent critical thinking and problem solving skills
- Ability to effectively maintain confidentiality
- Ability to effectively handle multiple demands and complete assignments in an accurate and timely manner
- Ability to travel to other sites as required
- Ability to develop reports, presentations, and draft correspondence
- Recent satisfactory performance and attendance record
